Managing permissions

Prism Cloud is only available with eligible subscriptions and in specific regions.

Making sure that the right people have access to the right content is critical. This page explains how to view and control permissions for Projects, Private Folders, and Groups within Prism Cloud.

 

Understanding permission roles

Prism Cloud uses two permission roles for projects and power analysis results:

Commenters can view content, add comments to discussions, and download files to work with locally. However, Commenters cannot push updates back to Prism Cloud.

Editors have full control and can move, rename, delete, share, or update content. For projects, this means Editors can download the file, modify it in Prism desktop, and push updates back to Prism Cloud. For power analysis results, Editors can modify parameters and rerun the analysis directly in Prism Cloud.

For private folders, only Editor permissions are available. This is because folder-level permissions control access to the folder itself and all content within it. When you grant Editor permissions to a folder, users automatically gain Editor access to all projects and power analysis results inside, allowing them to move, rename, delete, share, or update anything within that folder. If you want to give someone Commenter-only access to specific content within a private folder, you should share those individual items directly rather than sharing the entire folder.

How permissions work in different folder types

Permission behavior varies depending on the folder type where content is published:

Personal folders: Only you can see content here unless you explicitly share it. When sharing content from your personal folder, you choose whether to grant Commenter or Editor permissions to specific individuals or groups using the Share dialog.

Common folders: All workspace members automatically have Commenter permissions on all content (they can view, download, and participate in discussions). Only the content owner and users explicitly assigned Editor permissions can update or manage the content. Since all workspace members have this baseline Commenter access, they won't appear in the Share dialog unless you've explicitly granted them Editor permissions.

Private folders: Only visible to users and groups who have been granted access. When you share a private folder, you grant Editor permissions to the folder and all content within it. For Commenter-only access to specific items, share those items individually instead of the folder.

Permission precedence

When a user has multiple sources of permissions for the same content, the highest level of access applies. Here's how it works:

If you're a workspace member, you automatically have Commenter access to all content in common folders

If a folder is shared with you (or a group you belong to) as Editor, you have Editor access to all content in that folder

If an individual item is shared with you as Editor, you have Editor access to that item regardless of folder permissions

If you have Editor access through a group AND through individual assignment, removing you from the group does not revoke your individual Editor access

Group permissions are dynamic: removing someone from a group immediately revokes permissions granted only through that group

Managing permissions for projects

To view or manage existing permissions for a project, start by opening the project within Prism Cloud. At the top right of the project view, you will see a blue "Share" button.

Click this button to open the Share Project dialog with controls to add, review, and change permissions. At the top of this dialog, you will see the name of the project, and a field where others can be added (either by name if they're a workspace member or by email). You can also add groups to grant permissions to multiple workspace members at once. Below this input field, a dropdown menu will allow you to toggle between viewing all who have access to the project ("Show all who can view"), only viewing guests ("Only Guests"), or only viewing workspace members with whom the project was shared ("Only Members").

For each individual or group that the project has been shared with, their name, email address (or group name), and role on the project will be listed in the following section. Clicking the dropdown arrow beside a role will allow you to select "Revoke Access" which will remove them from the project share list.

Finally, at the bottom of this dialog you'll see the general access setting, which reflects the folder type where the content is published:

Common: Visible to all workspace members - Content is in a common folder, and all workspace members can view it

Restricted: Only invited users can access - Content is in a private folder or personal folder, and only users you've explicitly shared it with can access it

This setting is determined by the folder type and cannot be changed directly in the Share dialog. To change access levels, you would need to move the content to a different folder type.

Managing permissions for folders

Permissions for folders are limited to Private Folders. Common workspace folders are visible to any member of the workspace, and cannot be shared directly. Private folders can be shared, but only with workspace members or groups. It is not possible to share a private folder with a Prism Cloud user that is not a member of your workspace. After creating a Private folder, a blue "Share Folder" button will be visible at the top right of the window while in the main folder view.

Clicking this button will bring up the Share Folder dialog, which is similar to the Share Project dialog described above but a bit simpler. On this dialog, you will see the name of the folder, and a field where others can be added (either by name if they're a workspace member or by email). You can also add groups to share with multiple workspace members at once. For each individual or group that the folder has been shared with, their name, email address (or group name), and role will be listed in the following section. Clicking the dropdown arrow beside a role will allow you to select "Revoke Access" which will remove them from the folder share list.

Share Folder Options

Note that unlike sharing projects, you cannot share folders with non-workspace members. Note also that it's currently not possible to change a Private folder to a common one or vice-versa.

Managing permissions for groups

After a Group is created within a workspace, workspace members may be added allowing private folders, projects, and power analysis results to be shared with a dynamic list of workspace members quickly and easily. To manage permissions of an existing group, simply open the Groups page and click on the tile for the group you want to manage. On the Group view, the list of group members will be shown with a "Revoke Access" link beside their name. Simply click this link to remove the indicated user from the Group. If that user only had access to content through their group membership, they will immediately lose access to that content.
